Project Budget Planning for Commercial Interiors

The most expensive words in a furniture project are “we'll figure out budget later.” We build real budgets early, with allowances, freight, installation, and phasing included, so projects across the country get approved once instead of re-scoped three times.

Space-Type Allowances Good / Better / Best Tiers Freight & Installation Included
What It Is

A budget you can defend in the approval meeting.

Budget planning turns a project idea, a new floor, a renovation, an expansion, into numbers finance can act on: allowances by space type, freight, installation labor, and contingency, organized in good, better, best tiers.

Accurate budgets come from real data, not per-square-foot folklore. We build yours from current product pricing, actual freight patterns, and the installation hours our own crews log. That's why our early budgets tend to survive to the final invoice.

Where It Works

When to build the budget.

Annual & Capital Planning

Numbers solid enough for next year's capital request, before the project is designed.

Lease & Relocation Decisions

Furniture and buildout allowances that belong in the move decision, not after it.

Renovation Scoping

What the refresh really costs, before design money gets spent.

Board & Committee Approvals

Tiered budgets that give approvers a real decision, not one take-it-or-leave-it number.

Grant & Public Funding

Documented, defensible budgets for institutional and government processes.

Phased Multi-Year Projects

Spending mapped across phases and fiscal years so nothing stalls mid-project.

What You Get

What a PCF budget includes.

Built to the decision it supports, from a one-page allowance summary to a full phased capital plan.

Space-Type Allowances

Per-workstation, per-office, and per-room allowances built from current product pricing.

Good / Better / Best Tiers

The same project at three quality levels, so tradeoffs are chosen, not discovered.

Freight & Installation

Delivery, installation labor, and trash-out included. The lines most estimates forget.

Phasing & Cash Flow

Spend mapped across phases and fiscal years for multi-stage projects.

Contingency & Escalation

Honest allowances for lead-time pricing changes and the unknowns every project has.

Budget-to-Quote Continuity

When the project proceeds, the budget becomes the quote structure. Same lines, real products.

Why This Is Quoted

No two projects budget the same.

Even the budget has scope drivers. These shape the numbers we give you.

01
Project size & space mixHeadcount and room types set the allowance structure.
02
Quality tierProduct grade is the biggest budget lever, which is why we show tiers.
03
New vs. reuseReusing existing furniture changes both the number and the labor plan.
04
Freight realityDistance, dock access, and delivery conditions affect landed cost.
05
Installation complexityOccupied space, after-hours work, and multi-floor installs drive labor.
06
Lead times & escalationLong project timelines need pricing protection built in.
07
PhasingMulti-phase work adds mobilizations but spreads cash flow.
08
Site specificsElevators, unions, and building rules get priced, not discovered.
How We Work

From first conversation to final walkthrough.

One team owns the project end to end. A single point of contact from consultation through punch list.

01

Consultation

We define the project, the decision the budget supports, and the precision needed.

02

Site Review & Field Measure

We review plans or walk the space to ground the budget in real conditions.

03

Design & Specification

Allowances by space type, at tiers, with freight and installation included.

04

Quote & Approval

A budget document built for approval: clear structure, defensible numbers.

05

Delivery & Installation

When the project greenlights, the budget converts straight into specification and quotes.

Worth Thinking Through

How to budget without regretting it.

Beware per-square-foot folklore

Furniture budgets quoted per square foot without a space program are guesses wearing a suit. Allowances by space type are barely more work and far more accurate.

Freight and install are not rounding errors

Delivery, installation, and trash-out are a real share of project cost. Budgets that skip them get approved and then embarrassed.

Tiers prevent re-scoping

A single number gets negotiated. Three tiers get chosen from. Good, better, best up front keeps the project from being redesigned in the approval meeting.

Date-stamp the assumptions

Pricing and lead times move. A good budget states its assumptions and its shelf life, and we refresh ours when the timeline slips.

Where the Numbers Come From

Our budgets are built from live manufacturer pricing across our line card and the freight and installation data from our own projects, not industry averages from someone else's market.

Questions We Hear

Budget Planning FAQ

How much does a furniture project cost per person?+
It varies by tier and space mix more than any average suggests, which is why we build allowances instead of quoting folklore. Tell us headcount and space types and we'll give you a real range within days.
Is budget planning free?+
An initial budget conversation and a rough range cost nothing. Detailed tiered budgets with phasing are scoped as a service, typically credited against the project when it proceeds.
How accurate are early budgets?+
Allowance-based budgets built from current pricing and our own installation data typically hold through design, with stated contingency covering the true unknowns. We'd rather give you a defensible range than a precise fiction.
What information do you need?+
Headcount, space types or a plan, quality expectations, and timeline. If you have none of that yet, start with workplace consulting or space planning and the budget falls out of it.
Can you budget a phased, multi-year project?+
Yes. Spend mapped by phase and fiscal year, with escalation assumptions stated. It's one of the most common requests from institutional and government clients.
What if the quotes come in different from the budget?+
The budget and the quote share the same structure, so differences show up line by line: a scope change, a tier change, or a market change. Never a mystery.
